What should an invoice include?
Every professional invoice should make it easy for the customer to pay and easy for both sides to keep records. At a minimum, include:
- The word “Invoice” (or “Tax Invoice” in the UAE) and a unique invoice number
- Your business name, address and contact details
- Your customer's name and address
- The issue date and, if different, the date the goods or services were supplied
- A clear description of each item, with quantity and unit price
- The tax rate and tax amount for each item, if you are registered for VAT or sales tax
- The total amount due, the due date and how to pay
UK VAT invoice requirements
If your business is VAT-registered, HMRC expects a full VAT invoice to show:
- A unique invoice number that follows on from the last one
- Your business name, address and VAT registration number
- The invoice date, and the time of supply (tax point) if it is different
- Your customer's name and address
- A description of the goods or services, the quantity and the unit price excluding VAT
- The VAT rate for each item and the total excluding VAT
- The total VAT charged, and the rate of any cash discount offered
The UK standard VAT rate is 20%, with a reduced rate of 5% and a zero rate of 0%. Retailers can issue a simplified VAT invoice for sales of £250 or less. A VAT invoice should normally be issued within 30 days of the date of supply. A proforma invoice is not a valid VAT invoice, so issue a proper invoice once the sale is confirmed. Read the official guidance in HMRC VAT Notice 700/21 and GOV.UK: what invoices must include.
UAE tax invoice requirements (TRN and 5% VAT)
In the United Arab Emirates, a VAT-registered business must issue a tax invoice that shows:
- The words “Tax Invoice” in a prominent place
- The supplier's name, address and 15-digit Tax Registration Number (TRN)
- The recipient's name, address and TRN, if the recipient is VAT-registered
- A sequential invoice number, the date of issue and the date of supply if different
- A description of the goods or services, quantity, unit price, VAT rate and VAT amount
- The VAT amount in AED, with the exchange rate used if you invoice in another currency
The standard UAE VAT rate is 5%. A simplified tax invoice can be used for sales to customers who are not VAT-registered, or for supplies to registered customers of AED 10,000 or less. Select United Arab Emirates in the tool above and it switches to “Tax Invoice”, 5% VAT, TRN fields and an AED exchange-rate line automatically. See the Federal Tax Authority for official rules.
Invoice vs quotation vs proforma vs credit note
| Document | When you use it | Asks for payment? |
|---|---|---|
| Invoice | After goods or services are supplied or agreed | Yes |
| Quotation | Before the job, to tell the customer what it will cost | No – it is an offer |
| Proforma invoice | Before delivery, for advance payment or customs | Sometimes (advance payment) |
| Credit note | To reduce or cancel an invoice already issued | No – it reduces what is owed |
Payment terms explained
| Term | Meaning |
|---|---|
| Due on receipt | Payment is expected as soon as the invoice is received |
| Net 7 / Net 14 | Payment is due 7 or 14 days after the invoice date |
| Net 30 | Payment is due 30 days after the invoice date – the most common B2B term |
| Net 60 | Payment is due 60 days after the invoice date, common with large companies |
In the UK, if you have not agreed payment terms, the customer generally has 30 days from receiving the invoice or the goods or service to pay.
How to number your invoices
Give every invoice a unique number in a logical sequence, and never reuse or skip numbers without a record. Simple formats work best: INV-0001, 2026-0001 or a client prefix such as ACME-001. This tool remembers your last number and increases it every time you click New invoice. Quotations (QUO-), proforma invoices (PRO-) and credit notes (CN-) get their own prefixes.

Can I create a UK VAT invoice?
Yes. Choose United Kingdom to get 20%, 5% and 0% VAT rates and a VAT registration number field. The VAT is calculated per item and shown by rate on the invoice.
Can I create a UAE tax invoice with TRN?
Yes. Choose United Arab Emirates and the document is titled “Tax Invoice”, uses 5% VAT and shows your TRN. If you invoice in a foreign currency, enter an exchange rate and the VAT amount is also shown in AED.
What is the difference between an invoice and a quotation?
A quotation is an offer that shows what a job will cost before the customer agrees to it. An invoice is a request for payment after goods or services have been supplied or agreed.
